Job Summary
This role is critical to ensuring optimal productivity across the Martin organization. The Senior Transaction Coordinator & Executive Assistant provides high-level administrative and technical support of a confidential nature to the Property Management, Investment Services, and Property Development teams, while also providing back-up support across departments during absences or high-volume periods. Serving as a key liaison and single point of contact, this role independently manages workflow requests, prioritizes projects, and determines the appropriate course of action to ensure timely and effective results

Key Responsibilities by Department
Property Management – Under the guidance of the Director of Property Management:
- Prepare, input and track new management lease agreements and related documents.
- Setup, input and track new management agreements and related amendments.
- Maintain property management master spreadsheet.
- Prepare and distribute semi-annual property management tenant and client surveys.
- Coordinate and forward monthly management reports to clients.
- Prepare monthly Lease Expiration and Listing Expiration reports for property managers.
- Facilitate the preparation of new management proposals.
- Maintain department lease files.
- Onboard new management leases.
- Prepare and distribute annual management budget packages.
- Prepare correspondence for team as needed and assist in day-to-day workflow.
- Maintain integrity of management property, listing and client data within the company database.
- Maintain Company confidentiality.
- Other duties as may be assigned.
Investment Services
- Support Martin’s Managing Director with the day-to-day business operations for all related entities.
- Prepare and track all purchase agreements, addenda, timelines and sale-related documents; and assist with closings.
- Set up and facilitate transaction files for all new acquisitions.
- Initiate and register as requested for applicable state inclusion.
- File annual reports for as required by each state.
Property Development
- Work with leadership to identify key resources and areas of potential new business development leads with local and state municipalities.
- Maintain and update Business Development spreadsheet.
- Coordinate all required documentation and signatures required for submission and approval on targeted contractor bid lists.
- Provide support with special project requests as needed and directed.
- Assist with coding project invoices, expense reports and pay applications in process.
Minimum Job Requirements
- Associate’s degree or equivalent from two-year college. (Required). Paralegal certification a plus.
- Minimum 5 years related experience providing administrative support to multiple or a team of professionals.
- 3+ years’ experience in Real Estate and/or Legal industry.
- Excellent written and verbal communication skills.
- Accuracy, attention to detail, professionalism.
- Strong organizational and analytical skills.
- Advanced Microsoft Office skills (Word, Excel)
- Ability to function and make decisions with minimum direct supervision.

Physical Requirements
