Job Summary

Martin is seeking a highly competent, strategic and proactive Sr. Executive Assistant to support our Managing Director across a diverse range of entities spanning real estate development, construction and investment services.

 

Key Responsibilities

  • Act as a strategic partner to the Managing Director, supporting day-to-day operations across multiple business entities.
  • Manage complex calendar, scheduling, and prioritization of meetings, deadlines, and business initiatives.
  • Serve as confidential liaison between company executives, internal management, investors, clients, and guests.
  • Draft, review and manage high-level business correspondence, commercial real estate documents, spreadsheets, reports and presentations.
  • Function as transaction coordinator for both company and personal real estate matters. Lead and foster client communication and interaction to help facilitate closings.
  • Develop and manage timelines, workflows, and reporting across multiple concurrent projects including preparing RFPs, Letters of Intent and other requisite documents.
  • Prepare and track all purchase agreements, addenda, and sale-related documents.
  • Assist with entity formation, state registrations, and annual filings by each state.
  • Set up and facilitate transaction files for all new acquisitions.
  • Initiate, track and maintain insurance policy compliance for all entities and properties.
  • Take initiative to solve problems, remove roadblocks, and drive execution.
  • Various other tasks and responsibilities, as determined and assigned.

Minimum Requirements

  • 3+ years’ experience in an Executive Assistant, Business Partner, or Operations role
  • Background in commercial real estate, development, legal, or investment environments strongly preferred
  • Accuracy, attention to detail
  • Ability to function and make decisions with minimum direct supervision.
  • Advanced proficiency in Microsoft Office (particularly Word and Excel)
  • Bachelor’s degree (Required)
