Job Summary
Martin is seeking a confident, organized and ambitious Senior Executive Assistant to join our team and provide a wide range of commercial real estate, business operations and administrative support of a highly confidential nature to the Managing Director
Key Responsibilities
- Support the Managing Director with the day-to-day business operations for all related entities. including drafting and preparation of business correspondence, commercial real estate documents, spreadsheets, calendar management and scheduling.
- Function as transaction coordinator for both company and personal real estate matters.
- Manage a wide variety of commercial transactions and timelines from bid to close including preparing RFPs, Letters of Intent and other requisite documents.
- Prepare and track all purchase agreements, addenda, timelines and sale-related documents; and assist with closings.
- Set up and facilitate transaction files for all new acquisitions.
- Initiate and register as requested for applicable state inclusion.
- File annual reports as required by each state.
- Lead and foster client communication and interaction to help facilitate closings.
- Develop, direct, and track transaction timelines and key dates, finalize and process documents and coordinate multiple schedules to close.
- Serve as confidential liaison between company executives, internal management, employees, clients, and guests.
- Initiate, track and maintain insurance policy compliance for all entities and properties.
- Take independent action when handling requests; determine the appropriate course of action, intervene where necessary, and act as a liaison between departments.
- Coordinate and assign tasks to coworkers as needed for assistance and completion with executive projects or company reporting.
- Various other tasks and responsibilities, as determined and assigned.

Minimum Requirements
- Associate’s degree or equivalent from two-year college. Bachelor’s degree preferred. Paralegal certification a plus.
- Minimum of 3 years supporting at the Executive level.
- 5+ years of related experience preferably real estate or legal field.
- Accuracy, attention to detail, professionalism.
- Strong organizational and analytical skills.
- Ability to function and make decisions with minimum direct supervision.
- Advanced skills in Microsoft Office, Excel

Physical Requirements
