Job Summary
Martin Commercial Properties is seeking a personable, organized and dependable Receptionist/Office Admin to join our team and assist with administrative and organizational projects as needed. As Receptionist/Office Admin you are the first touchstone to Martin’s clients, providing attentive support and outstanding service. This position also provides backup support for the Accounting and Marketing teams, as needed. This is an in-office position, 8:00 am to 5:00 pm, M-F.
Key Responsibilities
- Manage and maintain the Front Reception area – ensuring it is clean, organized, and welcoming at all times.
- Greet and receive in-person Martin clients and guests in a professional and friendly manner.
- Provide receipts for rent checks as collected.
- Answer and manage all incoming phone calls and direct to relevant employee or department.
- Sort and distribute daily mail and express packages upon delivery. Ensure daily outgoing mail is stamped with postage and mailed. Prepare outgoing package and labels for shipping. Order postage and mailing supplies as needed.
- Maintain, stock and upkeep conference rooms, mailroom, and employee café.
- Maintain accurate property key log and sign-out sheet for Martin teams.
- Assist with database updates and projects as directed.
- Assist the Admin team with specific month-end and ongoing tasks as needed and assigned.
- Assist Accounting team with scanning weekly invoices, mailing payments and other projects as required.
- Assist Marketing team as needed (project based and as time allows).

Minimum Job Requirements
- Ability to handle multiline phone system.
- 1-2 years’ experience in an administrative support or customer service role preferably with front office reception responsibilities.
- Proficient in Microsoft Word, Excel, Outlook and use of the internet.
- High school diploma or general education degree (GED).

Physical Requirements
Those activities associated with general office work including, but not limited to, sitting, walking, standing, talking or hearing, for long periods of time. Using hands to write, key, handle, or feel objects, tools, or controls. Other activities include reaching, stooping, kneeling, crawling, crouching, pushing, pulling and lifting.
