<p>Martin is seeking an experienced, confident, organized and ambitious Executive Assistant to join our team. This role is critical to the organization providing comprehensive administrative support to the President and CEO with a focus on commercial real estate and business operations of a highly confidential nature.</p>
<p>&nbsp;</p>
<h4>Key Responsibilities/Job Functions</h4>
<ul>
<li>Serve as high-level administrative and personal support to President and CEO to include drafting and preparation of business correspondence, commercial real estate documents, spreadsheets, database updates, calendar management and scheduling.</li>
<li>Proactively manage a complex, high-volume schedule, resolving conflicts independently.</li>
<li>Manage sensitive financial, personnel, and strategic data with absolute discretion.</li>
<li>Serve as confidential liaison between company executives, internal management, employees, clients, and guests.</li>
<li>Function as transaction coordinator for both company and personal real estate matters; managing a wide variety of commercial transactions and timelines from bid to close including preparing RFPs, Leases, Letters of Intent, Purchase Agreements and other requisite documents.</li>
<li>Lead and foster client communication and interaction to help facilitate closings.</li>
<li>Develop and track transaction timelines and key dates, finalize and process documents and coordinate multiple schedules to close.</li>
<li>Research, analyze, organize and present information for reporting purposes; coordinating data from multiple sources for inclusion in reports and presentations.</li>
<li>Take independent action when handling requests; determine appropriate course of action, intervene where necessary, and act as a liaison between departments.</li>
<li>Coordinate and assign tasks to coworkers as needed for assistance and completion with executive projects or company reporting.</li>
<li>Various other projects and responsibilities, as determined and assigned by CEO.</li>
</ul>

<p>The Executive Director of Accounting &amp; Finance is a member of Martin’s leadership team and has overall responsibility for the accounting process, financial strategy and business operations of Martin Commercial Properties, Inc. (MCP) and its affiliates; Martin Commercial Properties West Michigan (MWM) and Martin Property Development (MPD), collectively referred to as MCP. Working as a collaborative leader, the role is responsible for managing and reporting on all fiscal and fiduciary affairs of the organization to the Chief Executive Officer (CEO), budgeting and forecasting; and managing the day to day operations of the accounting team. Demonstrates ethical leadership in all functions. Understands business systems and processes, manages improvement projects benefitting internal and external users.</p>

<p><strong><u>Key Responsibilities/Job Functions</u></strong></p>
<h5><em><strong>Business Operations</strong></em></h5>
<ul>
<li>Member of the leadership team focused on the integration of all functions, i.e. accounting, operations, sales, property management, information technology, and human resources.</li>
<li>Assists leadership team in updating the strategic plan. Implements or directs the implementation of programs that meet set goals and objectives.</li>
<li>Identifies and drives process improvements to ensure best in class service while promoting employee efficiency and productivity.</li>
<li>Oversees commercial insurance policies, working with the insurance broker to mitigate business risks and control costs.</li>
<li>Leads by example to earn respect and trust of peers, employees, and clients.</li>
<li>Provides appropriate feedback loop to CEO on relevant issues.</li>
</ul>
<h5><em><strong>Accounting </strong></em></h5>
<ul>
<li>Handle daily cash management and reporting.</li>
<li>Manage process for sales invoicing, including pricing strategies, collections, and commissions.</li>
<li>Prepare MCP’s monthly financial statements, calendar year reports and year-end statistics.</li>
<li>Offer interpretation and analysis of financial results in conjunction with annual budgeting.</li>
<li>Develop and maintain effective working relationship with key financial partners and vendors.</li>
<li>Track all Inter-Company activity and perform monthly reconciliations.</li>
<li>Manage bi-weekly payroll processing for all entities. Handle all year-end reporting.</li>
<li>Prepare personal property tax returns for various cities.</li>
<li>Oversee and review corporate tax returns prepared by the MCP’s professional services firm.</li>
<li>Manage Company Payables process, including check runs, ACHs and credit cards.</li>
<li>Enhance and implement accounting systems, processes, tools and internal control systems.</li>
<li>Supervise accounting staff on day to day operations that includes, but not limited to, monthly, quarterly and year-end close, accounts receivable, accounts payable, financial reports, cash receipts and disbursement.</li>
<li>Develop, implement and maintain a comprehensive job costing system for the Property Development business division.</li>
<li>Serves as a Yardi SPOC/administrator and manages software issues encountered and support ticket requests.</li>
<li>Ensure that effective internal controls are in place to comply with GAAP and applicable federal, state and local regulatory laws and rules for financial tax reporting, as well as other legal and regulatory requirements.</li>
</ul>
<h5><em><strong>Information Technology</strong></em></h5>
<ul>
<li>Ensure that Company is utilizing best in class technology in order to promote efficiency and customer service.</li>
<li>Oversee all technology resources.</li>
<li>Oversee internal support/ IT Help Desk system to ensure highest level of employee productivity.</li>
</ul>
<h5><em><strong>Human  Resources</strong></em></h5>
<ul>
<li>Oversight of recruitment, selection, and retention of high caliber team members to carry out MCP’s mission.</li>
<li>Supervise the annual performance process, focusing on career development. Guide team in goal setting and strengthening competencies.</li>
<li>Collaborate with Office Operations Manager providing guidance and direction as needed.</li>
<li>Oversee the Company’s Health and Benefit Plans.</li>
<li>Serve as Fiduciary for the Company’s 401k Plan.</li>

<li>Minimum of seven to ten years of related experience and/or training.</li>
<li>Advanced skills in Microsoft Office Suite, particularly Excel.</li>
<li>Extensive knowledge of accounting principles, financial terms, financial analysis.</li>
<li>Working knowledge of ADP (<strong>Preferred</strong>)</li>
<li>Working knowledge of Yardi software (<strong>Preferred</strong>)</li>

<p>Martin is seeking an experienced, energetic Commercial Property Manager to join our team of professionals and manage a portfolio of multiple and/or single-building commercial real estate properties. As Property Manager you are accountable for all facets of performance and owner communication including but not limited to operations, financial, marketing and leasing. This is an onsite position based in our East Lansing office.</p>
<h4><strong>Key Responsibilities</strong></h4>
<ul>
<li>Coordinate all management responsibilities with administrative staff, facility manager, assistant property managers, other property managers, maintenance team, leasing, and accounting.</li>
<li>Develop, implement, and evaluate annual budgets for clients/owners.</li>
<li>Prepare cash analysis and financial forecasting reports for clients.</li>
<li>Communicate regularly with tenants, clients, and internal staff.</li>
<li>Oversee work orders, preventive maintenance work, capital work, invoice approval, project management, move in and move out coordination.</li>
<li>Maintain and update preventative maintenance logs and follow up accordingly.</li>
<li>Prepare lease language, lease proposal forms, and lease documents for approval.</li>
<li>Prepare monthly written reports and compile month-end owner packages in collaboration with accounting and leasing teams.</li>
<li>Prepare ProCalc assessments and submit with each lease proposal.</li>
<li>Manage all renewals in conjunction with client.</li>
<li>Coordinate with accounting team to route/authorize all payments from client operating account.</li>
<li>Responsible for meeting departmental and company objectives and timelines.</li>
<li>Proactive approach when dealing with investment objectives &#8211; provide and communicate ideas and insights to drive bottom line profitability.</li>
<li>Use in-depth knowledge of policy, procedures, and business practices to achieve results.</li>
<li>Assist in new business pursuits and contract negotiations.</li>
<li>All other tasks related to the assigned portfolio and company objectives.</li>
